For care managers, for families, and about how we keep client information safe.
For care managers
What is Pairlo Care?
A client portal for aging life care managers. Each client gets one shared page for the family: updates, appointments and who's driving, to-dos, the care team, supplies, documents, messages and your monthly statement. Your Workspace runs every client from one place, with intake forms, agreements, invoices and private clinical charts.
How much does it cost?
Your listing and your first client are free, end to end. Pro is $49 a month (or $490 a year) and runs every client, with one calendar across your caseload and insurance-ready statements. Practice starts at $249 a month for up to 5 care managers. Families never pay.
Can I bring my clients over from a spreadsheet?
Yes. Upload an Excel, Numbers or CSV file, or paste the rows. Pairy matches the columns (names, family contacts, care team, next appointment) and you check them before anything is saved. Diagnoses, medications and ID numbers are left out on purpose; they belong in each client's Chart.
Do families need an app or a login?
No. You send each family a private link to their page. If a link is ever forwarded somewhere it shouldn't be, press New link and the old one stops working immediately.
What does Pairy do?
Pairy's reminders work for every client. Pairy's AI writing help is off for client information until our AI provider signs a BAA with us, so client details are never sent to an AI service.
Do you take referral fees?
No. Pairlo is a tool you pay for, not a lead seller. Communities can't pay us per inquiry, per lead or per move-in either.
Can I cancel?
Anytime. Your work isn't deleted: if Pro lapses, your first client stays fully usable and the rest turn read-only until you're back on Pro.
Security, privacy and HIPAA
Is Pairlo HIPAA compliant?
Pairlo is built for practices that need HIPAA. Client records and charts are hosted under HIPAA business associate agreements (BAAs), and we sign a BAA with care managers who need one. Our security policies and risk assessment are written and adopted. Compliance also depends on how each practice uses any tool, so be wary of anyone who says they're "HIPAA certified": there's no such certification.
Where are client records stored?
In the United States. Client pages, notes, messages and charts run on Google Cloud and are stored in a Neon Postgres database, both under BAAs with Pairlo. Our public website (directories, guides and tools) is hosted separately and never handles client information.
How are charts protected?
Charts hold assessments, diagnoses, medications, the care plan and clinical notes. Encrypted, visible only to you with two-step sign-in, and every view is logged. Hosted under BAAs; we sign a BAA with covered care managers. Charts never appear on the family page or in emails.
Do emails include health information?
No. Notices say something like "New message from Jen on Pairlo" with a link; the details stay behind your sign-in or the family's private link.
Does AI see my clients' information?
Pairy's reminders work for every client. Pairy's AI writing help is off for client information until our AI provider signs a BAA with us, so client details are never sent to an AI service.
How do I get a BAA?
If you're a HIPAA covered entity (for example, you bill health plans electronically), ask us through the contact form and we'll send our Business Associate Agreement to sign before you add client information. Many private-pay care managers aren't covered entities; HHS has a page that explains the test. HHS: covered entities ↗
For families
Is Pairlo free for families?
Yes, always. Search senior living, compare the public record, read reviews, use the cost tools, and follow your parent's care on the page your care manager shares. No fees, no app.
Can I run my parent's care on Pairlo myself?
Yes, free. Sign up, choose “I'm helping a parent or relative”, and add up to two loved ones (Mom and Dad, an aunt, a grandparent). You get the calendar with who's driving, to-dos that remind your siblings for you, the care team, supplies, documents and a family page everyone can see. You can bring appointments in from the doctor's patient portal with “Add to calendar” files.
What if it gets to be too much?
Hand the page to a care manager. From your loved one's page, pick a care manager nearby and send a request; they see your note after signing in and accept or decline. Everything you built goes with the page, and you stay on the family list. Their fees are between you and them; Pairlo doesn't take a cut.
Is Pairlo a placement agency?
No. Pairlo is an information and coordination service, not a health care provider, a placement agency or a home care agency, and it doesn't give medical or legal advice. Communities never pay us when your parent moves in.
Where do the listings come from?
Public records: every Medicare- or Medicaid-certified nursing home in the US from CMS, plus hospices and Medicare-enrolled equipment suppliers; licensed assisted living and board and care from state licensing agencies (California today, more states coming); and funeral homes from OpenStreetMap. Always check the official record before deciding.
Can a community pay to rank higher?
No. A community can pay to add photos and pricing to its page, marked Sponsored. It never changes the order of results, the public record or the reviews.
What does a care manager do?
Aging life care managers are usually nurses or social workers. They assess what your parent needs, find the right services and keep the family in the loop. You can browse care managers near your parent or post what you need and let care managers nearby reach out.
